Currently, the module only allows you to create the minutes by editing them directly on the platform. As an improvement proposal, it would be advisable to enable the option of: Upload a previously prepared report in Word or PDF, so that it can be viewed in KAWAK with the same format and presentation as the minutes generated within the module. This functionality would allow greater flexibility in the preparation of minutes, would optimize management time and would facilitate the integration of existing documents.

Allow integration with tools such as Note AI, Fireflies, etc. with the acts module for the automatic or semi-automatic creation of minutes

There is currently no option to upload a signature in this module, it is an improvement for occupational safety and health audits. It could be the same way as it is handled in the work accident investigation module.

When you export the Excel file of the minutes made, it does not allow you to view the process, the processor and other relevant fields, making it difficult to generate reports on the behavior of the minutes.

Enable the approval of minutes, documents (preparation, review, approval), forms (inspections, requests, and others) through mobile devices (cell phones), since this is the device that allows greater agility for carrying out simple activities, such as approval, which does not usually require drafting additional texts or attaching documents, and this does speed up the carrying out of activities.

Currently, in the “View” mode of the minutes module, the column for comments is too narrow, which causes the texts to extend vertically and look unaesthetic, making them difficult to read. This especially affects when comments are detailed, as is often the case when performing tasks. In contrast, the “Task” column is quite wide, although task descriptions are usually shorter than comments. Proposal: Adjust the design so that the comment column has a larger width, similar to that of the task column, allowing a more comfortable and readable view of the content. This will improve the user experience and understanding of the recorded information. Expected benefits: Better readability of comments. More aesthetic and tidy presentation. Currently, when a document expires on the platform, an automatic email notification is generated. It would be very useful if this functionality is also applied to the tasks assigned in the minutes module. This would allow managers to be aware of deadlines and to provide timely follow-up, improving management and compliance with commitments established at meetings. Benefits: Improved task tracking. Reduction of forgetfulness or delays. Greater efficiency in managing commitments. Homogeneity in notifications between modules.

Currently, the Management Review Reports module allows the generation of reports at a general level for the entire system. However, a significant improvement would be the ability to generate these reports per work center. This functionality is crucial for organizations with multiple headquarters, as it facilitates the classification and specific analysis of review reports based on each location. Implementing this improvement will not only optimize information management, but it will also improve efficiency in strategic decision-making at the local and global levels.

Currently, when drawing up a report in the minutes management module, in the “invitees and attendees - Viewing Permission” icon, there is the PUBLIC option, this option can be selected by the drafter of the minutes by mistake, and in cases where the information is sensitive or confidential, it will be sent to all the staff of the organization. The proposals would be the following: That this PUBLIC option is better restructured by groups of (MANAGERS - ASSISTANT MANAGERS-DIRECTORS - CHIEFS - ADMINISTRATIVE STAFF), and that the system allows several options to be selected within these groups. That the system administrator can inactivate this PUBLIC option, in cases where it is considered necessary. At the time of selecting the PUBLIC option, the system must generate an alert message to the user who is preparing the report, so that they can confirm if they really want to select this option.
